Great teaching gets a centre started, and boring operations keep it alive. Double bookings, missed payments, and silent no-shows all come from the same root cause: information living in too many places.

Here is a systems checklist worth running before you scale.

One schedule, one source of truth

Every class slot should exist exactly once, in one system, with its own day, time, capacity, and instructor. A class that runs five days a week is five separate slots, not one entry with a note.

The moment your schedule lives in a spreadsheet, a wall planner, and a chat group at the same time, one of them is wrong. Pick the system and make everything else read from it.

Let your booking system do the admin

Confirmations, reminders, waitlists, and cancellation windows are machine work. If you are answering the same scheduling question twenty times a week, the system is missing, not the manpower.

Take attendance every single class

Keep the money boring

  • Reconcile every payment source monthly: term fees, drop-ins, trials, and platform payouts.

Four numbers to check every week

  • Fill rate: seats taken divided by seats offered, per slot.
  • New trials booked, and how many of last month's trials converted.
  • Retention: how many families from last term are still enrolled.
  • Late cancellations and no-shows, because a rising number is an early warning, not noise.

Fifteen minutes with these four numbers every Monday beats a quarterly panic. When each one has an owner and a trend, the centre is being run, not just taught.
